What is Payroll?

Payroll calculates, from the employee basic salary, how much to pay the employee and how much needs to be paid to SARS.

It also includes several other aspects that result from an employment relationship, such as:

  • overtime or commission amounts
  • leave accruals and days taken (annual, sick and compassionate leave)
  • loans or advance payments
  • retirement annuity or medical aid tax credits and deductions

For employees earning the same amount each month, it can be fairly straightforward but for several employees, with weekly pay, overtime, etc. it can become more complicated with several adjustments required to be entered into the payroll software.

Processing of payroll in a payroll system

Processing for 1 – 5 employees

We will:

+ Gather all completed payroll and leave documentation required for processing
+ Process the payroll amounts in the payroll system
+ Confirm the salaries payable to staff and the amount owed to SARS
+ Produce branded payslips for your employees
+ Submitting the EMP201 form to SARS via e-filing
+ Submitting the UIF return on U-Filing
+ Submit the bi-annual EMP501 returns required by SARS

We will:

+ Gather all completed payroll and leave documentation required for processing
+ Process the payroll amounts in the payroll system
+ Confirm the salaries payable to staff and the amount owed to SARS
+ Produce branded payslips for your employees

+ Submitting the UIF return on U-Filing

COIDA

All employers who employ one or more workers in connection with their business or farming activities are required to register with the Compensation Fund as per The Compensation for Occupational Injuries and Diseases Act (COIDA).

A separate registration is necessary for each separate branch of a business unless an arrangement for combined registration has been made.

Once registered, employers are required to submit an Annual Return of Earnings to The Department of Labour. This amount, combined with the category in which the business is registered, will determine the amount payable by the employer to the Compensation Fund.

UIF

All employers who have one or more employees working for them for more than 24 hours a month are required to register with the Unemployment Insurance Fund.

Even if you are registered for PAYE with SARS and make payments for UIF contributions to SARS, you are still required to register and submit monthly returns to the UIF. Ensuring that your returns and payments are up to date, means that if your employees cannot work for you due to ill-health or disability, need to take maternity leave, or you have to retrench them for business reasons, the UIF can compensate them instead of the burden being entirely on you and your business to take care of your employees.

+ Submit the Return of Earnings
+ Follow up with the Department of Labour to obtain the Notice of + Assessment and amount payable on your behalf

*If you have more than one year to submit, I charge R 1250 for the first year and then R750 for each year thereafter.
